Legal Assistant / Administrative Assistant
We are a boutique commercial litigation law firm seeking a highly organized, proactive, and dependable Legal Assistant to support a partner in the firm in all aspects of the practice.
This is a hands-on role offering broad responsibility across legal support, client service, billing, and day-to-day office operations. The ideal candidate is comfortable taking ownership of a wide range of responsibilities and enjoys being an integral member of a small, collaborative law practice.
Responsibilities
Legal Support
· Prepare, proofread, format, and file legal documents, pleadings, correspondence, and discovery materials.
· Manage electronic court filings through NYSCEF and federal filing systems.
· Maintain litigation calendars and track court deadlines.
· Organize electronic and physical case files.
· Assist with trial, hearing, mediation, and deposition preparation.
· Schedule depositions, meetings, and conference calls.
Billing & Financial Administration
· Manage attorney time entries and prepare client invoices using Clio.
· Track accounts receivable and follow up on outstanding invoices.
· Process accounts payable.
· Track reimbursable client expenses and firm operating expenses.
· Coordinate with the firm’s outside accountant.
· Maintain accurate financial and client records.
Administrative & Office Support
· Manage attorney calendar and scheduling.
· Open new client matters and maintain organized client files.
· Coordinate mail, deliveries, and office vendors.
· Identify opportunities to improve office systems and workflow.
Requirements
Qualifications
· 3-5 years of experience as a Legal Assistant in a litigation practice.
· Commercial litigation experience preferred.
· Experience using Clio or similar legal practice management software.
· Familiarity with New York State court filing procedures.
· Strong Microsoft Office skills, particularly Word, Outlook, and Excel.
· Exceptional organizational skills and attention to detail.
· Strong written and verbal communication skills.
· Ability to manage multiple priorities and deadlines with minimal supervision.
· Proactive, professional and dependable

Preferred Experience
Experience with legal billing, Clio, and law firm administration is strongly preferred. Candidates who have supported a solo practitioner or small law firm are especially encouraged to apply.
